eTendering Systems
Tender publication, bidding, evaluation and award on one auditable workflow, for bidders and for the procurement team.
Procurement is where transparency is demanded most and delivered least. A tendering system has to be fair in fact and visibly fair to everyone who bids.
The situation
Paper and email tendering depends on the discipline of individuals. Documents arrive late, versions diverge, and when a bidder asks why they lost, the answer lives in somebody's files. For institutions that must account for public or regulated funds, that is a standing risk.
What we built
An eTendering system with two faces. Bidders register, find tenders, download documents, ask questions and submit bids through a portal. Procurement teams publish tenders, receive submissions, evaluate them against the stated criteria and record the award, in a console that keeps a time-stamped trail of every action.
The system integrates with the procurement and finance platform the institution already runs, so an awarded tender flows into purchasing instead of being re-entered.
Fairness as a feature
The audit trail is the product. Every document, clarification and decision is recorded with who did it and when, which means the institution can answer a challenge from a bidder in minutes. For the bidder, the same trail is reassurance that the process was run by the rules.
